The Oxford Policy Fellowship Programme Coordinator is an opportunity to be involved in a unique and exciting programme that support government across Africa and Asia to achieve their law and policy objectives. Watch this video to learn more about the programme.

We are offering an interesting and exciting opportunity to work as a Programme Officer in our dynamic and fun team, where you will provide key operational support to the programme through administrative, logistical and financial. You will work closely with the Fellowship Programme Manager to ensure the high-quality delivery of the programme to scope, on time and within budget. The Fellowship Programme Officer is a role integral to the successful delivery and growth of the programme.

You will have high calibre organisational and problem-solving skills, and an analytical and dynamic approach to programme coordination. You will work closely with the Programme Manager to support the Fellowship in its annual cycle: engagement with government partners, recruitment of Fellows, planning of the Annual Meeting and deployment of Fellows.

Main tasks

  • Responsible for the administration of the Oxford Policy Fellowship, including logistical and financial.
  • Coordinating the annual recruitment of new Fellows: organising the call for applications, the interviews, contracting and placement.
  • Planning and coordinating Fellowship events, including the Annual Meeting and new Fellow induction training.
  • Working with the Programme Manager to support the Fellows in post: logistics, pastoral care, security and other support as required.
  • Support with financial management of the programme: tracking actual spend against annual budgets and responsible for the financial administration of the programme.
  • Nurturing a strong relationship with the Fellows in post and other key stakeholders.
  • Maintaining programme systems and files, ensuring that programme information is kept up to date.
  • Supporting the communications and marketing efforts by updating the programme website and other materials.
  • Ensuring constant adherence to OPM, funder and legal requirements: financial, compliance, security, and others.
  • Assisting with the gathering of data and information to support the Monitoring, Evaluation and Learning agenda, and the Fundraiser.
  • Support the Fellowship team in other activities as required.

Skills and experience

You will have demonstrated experience working on large, complex project administration, and a strong desire to learn and develop.

  • Excellent administration and coordination skills.
  • Experience in conference and meeting planning and coordination.
  • Clear and professional communication skills, adapting approach based on stakeholder.
  • Flexibility and initiative to autonomously manage a changing workload: working methodically, delivering to deadlines and prioritising.
  • High level of numeracy and familiarity with basic financial documents (budgets, invoices, etc).
  • Use own guidance and motivation to handle conflicting demands
  • Strong problem-solving skills, with a solution driven attitude.
  • Desire and ability to take on new challenges and grow.
  • Education to undergraduate degree preferable.

This is a permanent full-time position, based in Oxford, UK. In order to be considered for this vacancy, you must have the current right to work in the UK.

Due to the Fellowship Team’s work travel schedule, we are looking to hold first stage interviews in the week commencing 20th August and final interviews in the week commencing 10th September.
